  • Overview

    The Administrative Assistant - Shipping Clerk provides support to the Parts, Sales, Accounting and Shipping/Receiving departments; routinely interfaces with employees, managers, vendors and customers; and exercises discretion with sensitive and confidential information. The position is full-time; days and hours of work are Monday through Friday, 7:45 AM to 4:45 PM; overtime and weekends may be required on occasion.


    • Screen and direct calls, correspondence and visitors in a pleasant and timely manner
    • Generate domestic and international shipping documents (i.e., Label, Packing Slip, Bill of Lading, Commercial Invoice, Certificate of Origin)
    • Review and process sales orders with great attention to detail
    • Organize and distribute invoices with documentation to internal departments and customers
    • Monitor and troubleshoot shipping issues directly with shipping/logistics companies
    • Manage and troubleshoot shipping applications directly with vendors
    • Enter invoices into web-based payables software
    • Generate end-of-day reports
    • Maintain training materials
    • Other duties as assigned



    • High School Diploma, GED or foreign equivalent
    • Knowledge of basic accounting processes and procedures preferred
    • Knowledge of basic domestic/international shipping preferred
    • Two years of administrative experience
    • Typing 40+ words per minute by touch
    • Adept at 10-key by touch
    • Intermediate skills in MS Outlook, Word and Excel
    • Ability to maintain strict confidentiality and manage information with discretion
    • Ability to manage interdepartmental relationships and work individually with minimal supervision and ego needs
    • Ability to manage competing priorities while answering a multiline telephone
    • Ability to adapt to changing organizational needs with a can-do attitude
    • Interest in accepting lateral coaching and feedback
    • Outstanding internal and external customer service with the ability to interact with customers, vendors, employees and management
    • Advanced organizational, research, verbal and written communication skills

    • Regularly required to operate standard office equipment such as computers, phones, multifunction devices and filing cabinets
    • Regularly required to lift or move up to ten pounds; occasionally lift or move up to 25 pounds.
    • Regularly required to sit, stand, walk; reach with hands and arms; climb or balance and stoop, kneel or crouch
    • Occasionally exposed to work in the factory with weather, high noise levels and presence of heavy equipment
