Job Summary
AECOM is actively seeking a talented PM Assistant for immediate employment for the Portland, Oregon office. AECOM is proud to provide our employees with exciting, challenging projects.  
This role will depend on the Administrator's ability to perform the following:
 
  • Provides administrative support to one or more managers within a group, office or business unit including some of or all of the following: prepares or proofs correspondence, forms, spreadsheets, or documents, schedules meetings, makes travel arrangements, and/or maintains inventory of office supplies.
  • Familiar with standard concepts, practices, and procedures within a particular field.
  • Relies on experience and judgment to plan and accomplish goals.
  • Uses Word, Excel, PowerPoint, Outlook, and other programs to accomplish work.
  • Works under general supervision.
  • Assist the Project Manager or Project Engineer with administration and coordination of multiple complex engineering construction contracts for Port facilities.
  • Responsible for coordinating internal and external resources and ensuring cost, quality, and schedule requirements are met’ responsible for management of construction cost control systems and supervision of inspection and administrative staff for engineering construction projects.
  • Completion of monthly updates, including schedules, commission, project/PDXNext, Monthly report, etc. 
  • Minutes from all meetings and/or follow through with consultant team to provide minutes in a timely manner
  • Follow through with consultants regarding agendas and attendees ahead of all meetings
  • Assistance with Masterworks processes, including health reports, forecasting, project data reports
  • Development of Commission agenda items and presentations.
  • Development/coordination of more formal monthly project status report (maybe just for TCORE) for executive level dissemination.
  • Coordination of decision log/open item report, communicating and following up with responsible parties, Informing PM on status of items and plans to meet deliverable dates (maybe PM assistant role)
  • Coordination of coverage at meetings that overlap – i.e. making sure the right team members can support meetings when they inevitably overlap
  • Generate MS Schedules to assist Project Managers, Project Engineers and Construction Managers.
  • Develop, maintain, and communicate details of risk registers
  • Prepare technical letters and assist with specifications amendments.
  • Assist with the assembly of contract and bid documents.
  • Recognize technical  documents  with  limited  supervision  and  provide  archiving  for significant backload of complicated mechanical projects.
  • Provide detailed spreadsheets for data compilation and analysis.
  • Thoroughly understand engineering and construction terms and processes.
  • Optimize network file storage of project files within the Ports e-Port site.
  • Communicate complex data visually to a variety of stakeholders

Minimum Requirements
High School plus 2 years of experience

Preferred Qualifications
Past experience as an admin for a PM on a major infrastructure project.
